What calebdorris.com collects when you visit, send the quote form, email, call or text, who helps me handle it, and how to ask for a copy or a deletion.

Who I am

calebdorris.com is run by Caleb Dorris, a sole proprietor in Madison, TN, United States, offering web development and online marketing services. In this policy, "I," "me" and "my" mean Caleb Dorris, and "you" means anyone who visits the site or contacts me through it.

This policy covers the public pages of calebdorris.com, the quote form, and the email address and phone number published on the site. It does not cover software I build for clients. Those systems run under each client's own privacy policy.

Information I collect

When you send the quote form

Your name and email address (required)
Your company and phone number, if you give them
Your timeline, project type and the project details you type in
Whether you checked the optional text-message box, the exact consent sentence shown to you, the version of that sentence, the time, and your IP address
The time you sent the form, your IP address, and your browser and device information, which help me spot spam

When you email, call or text me

Your email address or phone number, and what you send or tell me
Basic call and message details, such as the time and the number
A voicemail, if you leave one. My phone provider may transcribe voicemails so I can read them.

Calls to my phone number on this site are not recorded or transcribed. The only calls that are recorded are calls to the AI receptionist demo, described in AI receptionist demo calls below.

When you browse the site

My web host keeps standard server logs: IP address, browser and device information, the pages requested, the referring page, and the time.
The site uses Google Analytics to count visits and see which pages are useful. Google Analytics sets cookies and collects information such as pages viewed, approximate location, device and browser type, and how you arrived. When the quote form is sent, the site tells Google Analytics that a quote request happened. It does not send the contents of the form.

How I use information

To reply to your quote request and set up an intro call
To write a quote and communicate with you about a project
If you opted in, to text you about your quote request, project status and scheduling
To keep a record of what you asked for and what you agreed to
To understand how the site is used and improve it
To protect the site, stop spam and abuse, and meet legal duties

I share information only in these cases:

Service providers that run parts of the site and my business for me, and may use the information only to provide those services: my web hosting provider, which hosts the site and its database; Zoho Mail (Zoho Corporation), which hosts my calebdorris.com email and receives and delivers it; Google Analytics (Google LLC), for site statistics; and my phone and text-messaging providers, which carry calls and texts.
Legal and safety reasons, when the law requires it, or to protect someone's safety or my rights.
A business transfer. If my business moves to a successor, such as a company I own, these records can move with it under this policy.

I do not sell personal information, and I do not share it for cross-context behavioral advertising.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Text messages

Text messages are optional. The program is called Caleb Dorris project updates. If you opt in, I text you about your quote request, project status and scheduling. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or reply HELP for help. You can also email caleb@calebdorris.com or call (615) 914-1073. Consent is not a condition of purchase or of sending the form. I do not send marketing texts unless you agree to them separately.

The text-message box on the quote form starts unchecked. When you send the form, I store whether the box was checked, the sentence you saw, its version, the time and your IP address. A later change to the form doesn't rewrite the sentence stored with your request. See the text message terms for the full program terms.

AI receptionist demo calls

The site has a live demo of an AI receptionist for a made-up business. It is separate from my own phone number, and demo calls are the only calls I record.

What is recorded: if you call the demo line, (629) 213-4695, or start a demo call from the demo page in your browser, the call is recorded and transcribed. The AI receptionist tells you this at the start of every demo call.
What is kept: the call audio, the transcript, a short summary, and a details card the assistant fills in from what you say, such as your name, callback number, email and the reason for your call. For phone calls I also keep the full number you called from, so it can be shown in your own call view, along with its last 4 digits and a scrambled (hashed) version used to apply the daily call limit. If a phone call is turned away because a daily limit has been reached, nothing is recorded and only the last 4 digits and the hashed number are kept, not the full number. Browser calls don't use a phone number: a hashed version of your IP address is used for the daily limit instead.
Who can see it: you can watch your own call, including your phone number and the details card, using the code the assistant reads to you or the private link on the demo page. Your full number is shown only in your own call view. Other visitors can't see your call. I can see demo calls so I can keep the demo working.
Who helps run it: Twilio carries the call and makes the recording, xAI powers the AI voice and transcription, Supabase stores the transcript and recording, and Vercel and Render host the demo.
How long: demo calls, recordings and transcripts are deleted automatically after 7 days. Your phone number, its last 4 digits, the hashed number and the details card are stored with the call and are deleted with it.

Please don't share sensitive information on a demo call. Nothing is booked or sent to a real business. To have a demo call deleted sooner, email caleb@calebdorris.com.

Cookies and your choices

The public site doesn't need an account. Google Analytics cookies are used for statistics, not to sell ads. The private admin area uses a login cookie for the site operator only. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's opt-out browser add-on. The site works without these cookies.

Browsers can send a Do Not Track signal. There is no common standard for what a site should do with it, so the site doesn't change its behavior based on it. You can still control cookies and send me a privacy request.

How long I keep it

Quote requests that don't become a project: up to 2 years after my last contact with you.
Client project records and correspondence: for the length of the project and up to 7 years after it ends, for tax, contract and support reasons.
Text-message consent and opt-out records: for as long as I keep the related request, and at least 5 years after the last text I send you, so I can show what you agreed to.
AI receptionist demo calls, recordings and transcripts: 7 days.
Server logs and analytics: for the shorter periods my host and Google Analytics keep them.

After that, I delete the record or remove the details that identify you.

Security

The site uses HTTPS, access to form records is limited to me, and I share them only with the providers listed above. No method of storage or transmission is completely secure. Please don't send passwords, payment card numbers or customer records through the form. If you think information you sent me was exposed, email caleb@calebdorris.com.

Children

This site and my services are for businesses and adults. I don't knowingly collect personal information from children under 13. If you believe a child sent me information, email caleb@calebdorris.com and I will delete it.

Your requests and rights

You can ask to see, correct or delete the personal information I have about you, or ask me to stop contacting you. Email caleb@calebdorris.com, and I will respond within 30 days. I may ask for enough detail to confirm the request is yours. If I need to keep a record for a legal duty, a contract or a dispute, I'll tell you.

The Tennessee Information Protection Act applies to businesses above its size and data thresholds, which my business may be under. I honor the requests described above either way. If you live in California or another state with its own privacy law, you may have rights to know, access, correct and delete your information and to appeal a denied request. Email me to use them.

Changes to this policy

If I change this policy, I'll post the new version on this page and update the effective date. A consent sentence already stored with your request stays the sentence you saw when you sent it.
